How To Plan Your Life And Make Progress

Life Plan And Progress

To Master Plan your life, you must begin with long-term goals that correspond to your core values. From that good start, you must establish yearly and monthly objectives. Based on those objectives, you create weekly and daily task lists. Doing all that will help greatly. But if you want to really change your life, you have to learn how to prioritize.

I didn’t always know how to prioritize. For much of my business career, I relied on goal setting and task lists and was happy with the results. But when I turned 50 and started writing for Early to Rise, I began to read how other business leaders achieved their goals. And that’s when I discovered what a huge difference prioritizing can make.

The most important lesson I learned came from The Seven Habits of Highly Effective People by Stephen Covey. In that book, Covey presents a technique for prioritizing that impressed me greatly and soon became a central part of my planning process.

Divide your tasks, Covey says, into four categories:

  • Not important and not urgent
  • Not important but urgent
  • Important but not urgent
  • Important and urgent

In the “not important and not urgent” category, you would put such things as:

  • Catching up on office gossip
  • Shopping online for personal items
  • Answering unimportant phone calls
  • Responding to unimportant e-mails

In the “not important but urgent” category, you would include:

  • Returning phone calls from pesky salespeople
  • Making last-minute preparations for an office party
  • Attending a required meeting that doesn’t help your career
  • Planning for a meeting that doesn’t matter

In the “important and urgent” category, you might list:

  • Making last-minute preparations for an important meeting with the boss
  • Making last-minute sales calls to key clients
  • Solving unexpected problems

And, finally, in the “important but not urgent” category, you might include:

  • Learning how to write better
  • Learning how to speak better
  • Learning how to think better
  • Working on your novel
  • Getting down to a healthy weight

When you break up tasks into these four categories, it’s easy to see that you should give no priority at all to “not important and not urgent” tasks. In fact, these tasks should not be done at all. They are a waste of time. Yet many people spend lots of time on them because they tend to be easy to do and sometimes enjoyable in a mindless sort of way. Or because they are afraid to get to work on important tasks because they are afraid of failure.

Even worse than spending time on tasks that are not important and not urgent is spending time on those that are not important but urgent. They should have been dealt with long before they reached the crisis stage.

If you discover that you are spending a lot of time on unimportant tasks, you’ve got a serious problem. Unless you change your ways, you’re unlikely to achieve any of your important goals.
So which tasks should you give priority to?

In Seven Habits, Covey says that most people think they should give priority to important and urgent tasks. But this is a mistake. “It’s like the pounding surf,” he says. “A huge problem comes and knocks you down and you’re wiped out. You struggle back up only to face another one that knocks you down and slams you to the ground.” You are “literally beat up by problems all day every day.”

All urgent tasks – both unimportant and important – are problematic: They are urgent because you’ve neglected something or because they are important to other people (like your boss). In either case, you need to find a way to keep most of them from winding up on your daily to-do list. This means making some changes in your work habits – usually a combination of being more efficient and delegating more chores to other people.

Urgent tasks will burn you out. And turn you into an unhappy workaholic. If you want transformation in your life, you have to give priority to the important but not urgent tasks – because those are the ones that will help you achieve your major, long-term goals.
It’s not easy.

The important but not urgent tasks whisper, while the urgent tasks shout. But there is a way to get that critical but quiet stuff done in four simple steps:

Step 1. When planning your day, divide your tasks into Covey’s four categories: not important and not urgent, not important but urgent, important but not urgent, and important and urgent.

Step 2. You will, of course, have to do or the urgent tasks – at least until you get better at taking charge of your schedule. And you will have to find a way to get rid of the tasks that are not important and not urgent. But make sure you include one important but not urgent task that, when completed, will move you closer to one of your long-term goals.

Step 3. Highlight that important but not urgent task on your to-do list. Make it your number one priority for the day.

Step 4. Do that task first – before you do anything else.

Initially, you will find it difficult to do an important but not urgent task first. There are reasons for that.

  • Since it is not urgent, you don’t feel like it’s important. But it is.
  • Since it supports a goal you’ve been putting off, you are in the habit of neglecting it.
  • You are in the habit of neglecting it because you don’t think it’s important and because you might be afraid of doing it.
  • You might be afraid of doing it because you know, deep down inside, that it will change your life. And change, even good change, is scary.

But once you start using this little four-step technique, you’ll notice something right away.

The first thing you’ll notice is how good you feel. Accomplishing something you’ve been putting off is energizing. It will erase some doubts you have about yourself – doubts caused by years of “never getting to” your long-term goals.

That extra energy and confidence will grow, and will fuel you throughout the day. This will make it easier for you to accomplish other important but not urgent tasks.

As the days go by, you will realize that you are making measurable progress toward your neglected goals. In just a few weeks, you will be amazed at how much you’ve already done. And in 52 weeks – a short year from now – you will be a brand-new, much more productive person.

That year is going to pass by anyway. You are going to spend the time somehow. Why not do it by taking charge of your schedule? Why not spend that time on yourself – on what’s really important to you?

Inheritance – The Word That Makes Me Squirm

Inheritance is something we look forward to receiving from our parents. While we may not consciously fo out of our way to display our excitement at the potential of receiving an inheritance, we all do secretly hope that one day we shall get one.

Being an only child I assumed that I would get an inheritance from my parents when they passed on. They were good people who worked hard and always did the right thing for the family. My Dad was the typical hunter gather who looked after his family. Growing up in the Depression I suppose help instill those kind of values into him. Thankfully those traits and a sense of resposibility for my family have been passed onto me.

After the passing of both of my parents within a three year period of each other I received my inheritance. I was excited about firstly receiving one and secondly having an opportunity to make my family’s life a little easier. But it wasn’t that easy.

Not ever having a lot of money myself I was unaccustomed to dealing with an instant windfall. I thought I knew how to handle money as I had been in the real estate industry for years. I was not. In fact I was very inexperienced.

For a sum of money that my parents took 60 years to gather, I was able to blow or lose in about 18 months. Bad investments involving slick salesmen soon saw all my inheritance gone. But there was worse to come.

I had to face my family, my wife and my children and let them know I had let them down. Not intentionally but nievely. I was so ashamed that I have never told them. I am so embarrased that a guy with a good pedigree for real estate could make such a blunder and do it so quickly.

When my daughter asks what I did with grandma’s money, I duck and weave. it hurts. I don’t answer her. But when I look into her eyes and I mean really look into her eyes I see a level of desperation and sadness that just sickens me.

It sickens me literally. I have been a nervous wreck. I’ve gained 30 kg in weight. I have anxiety attacks. I rarely sleep well. And I constantly beat myself.

But at 53 years and 11 months I know I still have time to claw my inheritance back. I know I can’t work any harder in my job so I need to leverage my efforts in a part time business.

I realise I don’t have millions of dollars to go out and buy real estate unemcumbered and live of the rental income. Those options are not open to me.

But I do know about leverage. Not leverage of money but leverage of time.

Recently a friend introduced my a way to leverage my time to create long term residual income. Without extra money commitments I can build a business part time and not only get back my inheritance but exceed it.

And here’s the best thing. I will be able to stand tall, look my family squarely in the face and say “I am responsible”. I will be able to say to my daughter “Dad is providing you with a great inheritance” and that means more to me than money will ever be able to buy.

Customer service exhibited by Melanie at the Sheraton Noosa today was definately not 5 star. Melanie via by my booking agent has declined my request for a refund due to the cancellation of a business trip I was on later this week caused by excess flooding and road closures from the Wide Bay region to the Sunshine Coast, Queensland. As I write this 230,000 properties are without electricity. Bundaberg city is about to experience it’s worst flood since 1942 while Gympie will again take the brunt of rising flood waters which have already affected 50 central business district businesses.

You can start to get the picture as to why my trip in these regions have been cancelled; resulting in my attempted cancellation and refund at the Sheraton Noosa.

Unfortunately my customer service experience with the Sheraton Noosa has been far from the 5 star experience the global hotel group promotes.

Customer service is an integral part of any business and should not be seen as an extension of it. A company’s most vital asset is its customers. Without them, we would not and could not exist in business. When you satisfy your customers, they not only help you grow by continuing to do business with you, but recommend you to friends and associates. With social media being a big part of our lives, word of mouth can spread globally extremely fast.

The practice of customer service should be as present throughout all divisions of a business and not exclusively to the sales environment.

The Ten Must Do Tips of Customer Service

  • Know who is boss. You are in business to service customer needs, and you can only do that if you know what it is your customers want. When you truly listen to your customers, they let you know what they want and how you can provide good service. Never forget that the customer pays your salary and makes your job possible.
  • Be a good listener. Take the time to identify customer needs by asking questions and concentrating on what the customer is really saying. Listen to their words, tone of voice, body language, and most importantly, how they feel. Beware of making assumptions – thinking you intuitively know what the customer wants. Do you know what three things are most important to your customer? Assumptions can be costly, Sheraton Noosa.
  • Effective listening and undivided attention are particularly important when you are face to face with a customer; especially if you are in an open space where there is a great danger of preoccupation – looking around to see to whom else we could be engaging with.

  • Appreciate the power of “Yes”. Always look for ways to help your customers. When they have a request (as long as it is reasonable) tell them that you can do it. Figure out how afterwards. Look for ways to make doing business with you easy. Always do what you say you are going to do.
  • Know how to apologize. When something goes wrong, apologize. It’s easy and customers like it. The customer may not always be right, but the customer must always win. Deal with problems immediately and let customers know what you have done. Make it simple for customers to complain. Value their complaints. As much as we dislike it, it gives us an opportunity to improve. Even if customers are having a bad day, go out of your way to make them feel comfortable.
  • Give more than expected. Since the future of all companies lies in keeping customers happy, think of ways to elevate yourself above the competition. Consider the following:
    • What can you give customers that they cannot get elsewhere?
    • What can you do to follow-up and thank people even when they don’t buy?
    • What can you give customers that is totally unexpected?
  • Get regular feedback. Encourage and welcome suggestions about how you could improve. There are several ways in which you can find out what customers think and feel about your services.
  • Listen carefully to what they say.
  • Check back regularly to see how things are going.
  • Provide a method that invites constructive criticism, comments and suggestions.
  •  Treat employees well. Employees are your internal customers and need a regular dose of appreciation. Thank them and find ways to let them know how important they are. Treat your employees with respect and chances are they will have a higher regard for customers. Appreciation stems from the top. Treating customers and employees well is equally important. Perhaps I came across an unappreciated employee today but the image of the Sheraton Noosa has certainly been tarnished for me.

I am still trying to achievea positive result here with the Sheraton Noosa. If they do come to the party and refund my expenses then I shall post a comment below.

On the whole I shouldn’t have had to jump through so many hoops especially from a 5 star Hotel group as Sheraton. Customer service is critical for business survival. Let’s hope we see better service from the Sheraton Noosa from here on out.

Completion – The Making Of Success

Do you live in a state of mental and physical clutter? Do you have a bunch of unfinished business lurking around every corner?

Incomplete projects, unfinished business, and piles of cluttered messes can weigh you down and take away from the energy you have to move forward toward your goals.

When you don’t complete tasks, you can’t be fully prepared to move into the present, let alone your new future.

When your brain is keeping track of all the unfinished business you still have at hand, you simply can’t be effective in embracing new tasks that are in line with your vision.

Old “incompletes” can show up in your life in lots of different ways… like not having clarity, procrastination, emotional energy blocks and even illness. Blocked energy is wasted, and a build up of that energy can really leave you stymied.

Throw-out all the clutter and FEEL how much easier it is to think!

Make a list of areas in your life (both personal and professional) where you have uncompleted tasks and messes, then develop a plan to deal with them once and for all. Fix and organize the things that annoy you.

Take your final steps in bringing closure to outstanding projects.

Make that difficult phone call. Delegate time-wasting tasks that you’ve let build up.

Some incompletions come from simply not having adequate systems, knowledge, or expertise for handling these tasks. Others pile up because of bad work habits.

Get into completion consciousness by continually asking yourself…What does it take to actually get this task completed?

Only then can you begin to consciously take that next step of filing completed documents, mailing in the forms required, or reporting back to your boss that the project has been completed.

The truth is that 20 things completed have more power than 50 things that are half-way finished.

Finishing writing a book, for instance, that can go out and influence the world is better than 13 books you’re in the process of writing.

When you free yourself from the mental burden of incompletes and messes, you’ll be AMAZED at how quickly the things you do want in life arrive.

Another area where you’ll find incompletes in your life is in your emotions. Are you holding on to old hurts, resentments, and pain?

Just like the physical clutter and incompletes, your energy is being drained by holding on to and reliving past pain and anger.

Remember, you’ll attract whatever feelings you’re experiencing.

So, if you’re stuck in vengeful thinking, you can’t possibly be directing energy toward a positive future. You need to let go of the past in order to embrace the future. Letting go involves forgiveness and moving on.

By forgiving you aren’t releasing the other person from their transgression as much as you’re freeing yourself from their transgression. You don’t have to condone their behavior, trust them, or even maintain a relationship with them. However, you DO have to free yourself from the anger, from the pain, and from the resentment once and for all.

When learning to forgive, make sure to complete the cycle.

Acknowledge your anger, your pain, and your fear. But also own up to any part you’ve played in allowing it to happen or continue.

Make sure to express whatever it was that you wanted from that person, and then see the whole event from the others point of view. Allow yourself to wonder what that person was going through and what kind of needs he/she was trying to fulfill at the time.

Finally, let go and move on. Every time you go through this process you’re learning how to avoid letting it happen again.

This week saw the re-election of President Obama for another 4 year term and inspite of your political persuasion, either government has a battle on their hands to right the American economy.

But your future is not solely tied to the government. You do not have to subscribe to the doom and gloom philosophy. You are in charge of your own destiny. You have a choice on how you and your family are going to live over the next 4 years and beyond; not President Obama.

We now live in a global economy. Opportunities are all around us; especially for those who see and take responsibilty for their futures. It’s not up to the government to create your destiny. You are.

There is a way. There is a solution. You can create the destiny of your dreams. It’s proven. Take charge of you today.

Smash Procrastination And Achieve More With This Simple Plan

In all my conversations with my readers, there often seems to be just a few major obstacles in the way of your success. Two that go hand-in-hand with one another are overcoming procrastination and getting a handle on your time management.

The good news is that we conquer both with one solution. And that’s simply by planning your day.

So let’s allay your fears and stresses about the seemingly complex task at hand. Planning makes success simple. Don’t get me wrong, it doesn’t make success easy, but it makes it simple. There is a big difference between the two. Easy means little effort. And we both know that success takes hard work. Simple means that the path to success has already been tread, and we just need to follow that path. But, of course, there’s a path that has been tread to the top of Mount Everest, too, and we know that isn’t easy.

All paths to success take planning. In our recent discussions about “Operation 2X”, our plan to help you achieve twice the results over the rest of the year, ETR Publisher our Matt Smith said, “You cannot have a 2X day when you don’t plan. That includes planning kids/family activities. 2X happens only when you lead. It only happens when you’re proactive and are actually pushing things forward. 2X only happens when there is intention.”

So what does that mean?

You need to:

  • Plan your day/schedule
  • Block out your time for specific tasks
  • Get ONE big thing done first thing in the morning for momentum
  • Prioritize your to-do list
  • Make a commitment to contacting the right people (including
  •   at least one affiliate partner per day)
  • Eliminate unnecessary communication
  • Avoid getting sucked into emails
  • Set daily deadlines
  • Stick to your schedule (this is where things often go wrong)
  • Set up your environment for maximum productivity.
  • Institute a strict sleeping schedule
  • Surround yourself with competent people who can do the grunt work for you.

Or you can say, “Oh, I don’t want to be that rigid. I want a flexible, spontaneous lifestyle.”

And that’s fine, but the fact is you’ll fail at almost everything you want to do in life. PERIOD.

Your choice.

You must have total control over your working conditions and those that can interrupt it. It must be made known that your work time is do not disturb time.

This will disappoint others but it will protect your time and is essential to your success. Make this decision. Separate work from play. Commit. Stay focused.

Remember…you get freedom from structure.

You don’t get freedom from a 4-hour work week. That’s false freedom, or as your parents described it, “Laziness”.

So listen…

If you’re struggling with your schedule, go back and do a “time journal”. Then ruthlessly plan your work day.

The more work you can get done during work hours, the less time you’ll have to steal from your family, friends, fitness, and fun hobbies by working when it’s not “work time”.

That’s what is meant by getting more freedom from structure.

You can work hard a good many hours and still have a life. Most people don’t have a balance problem, they have a time wasting problem.

You must find your magic time to get more done in less time.

You must also set an end to your day. Do a brain dump and then shut your working mind down. Go spend time with your family. Don’t answer email at all hours of the day. Set limits. Know what you should be doing at all times, and do it.

The more structure you have in your work day, the more you plan, the more you will accomplish – and the closer you will get to achieving a 2X day – and life.

Remember these words of wisdom from Dave Kekich:

“Cherish time, your most valuable resource. You can never make up the time you lose. It’s the most important value for any productive happy individual and is the only limitation to all accomplishment. To waste time is to waste your life. The most important choices you’ll ever make are how you use your time.”

So always be prepared. Plan ahead. If you don’t, that will not only slow your 2X progress, but it will cause you a lot of stress and anxiety in every area of life.

And that can be easily fixed with a plan.

There’s no denying the fact that our lives are a mirror image of the decisions we make. Sure there may be a rare exception—such as a major health challenge— but in the big picture of life, we are where we are today based on the decisions we made in the yesterdays.

The key to living a happy and fulfilling life is to make wise decisions; decisions about where you live and work; decisions in how you treat and interact with others; decisions about how you spend money and handle difficult situations. But perhaps the most important of all is where you are leading your life.

Where are you going? What do you want your life to look like five years from now? Ten years from now? Twenty years from now? Are you going drift with the tides or are you going to determine where you want to go, strap on a 200 HP motor, and start moving in that direction?

Like many people I know, I am trying to get clear on what I want to do with the rest of my life. I have achieved all my major goals thus far; so now I have to figure out where I want to go from here. As part of my soul-searching process, I have answered ten important questions I think everyone should ask of themselves.

Regardless of your station in life, you will benefit from answering these questions. Perhaps they will confirm that you are on the right track. Or, they may open your mind to opportunities you haven’t previously considered. They may reveal the missing link in your quest to find happiness and fulfillment in your life.

Finding clarity and direction for your life

1. What is important to me today? Start by identifying what’s currently important to you. To find the answer, simply look at how you spend your time. This is evidence to you and everyone watching your life as to what appears important to you at this point in time.

2. What should be important to me? Once you examine the activities that fill your days, you will begin to realize some activities contribute more positives to your life than others. For example, time spent watching TV or surfing the web compared to time invested in relationships, personal growth, or worthwhile projects. It’s time to do some soul-searching and make a list of the things that are truly important to you.

3. What do I want my life to look like? When you look 5, 10, 20, or 30 years into the future, what do you want your life to look like? What do you want to be doing with your time? Where do you want to be living?

4. What do I want my days to look like? What type of daily routines would you enjoy? From the time you get up to the time you go to bed, what do you want the typical day to look like?

5. What would I enjoy the most? Let loose and make a list of everything that fills you up inside. What excites you? What energizes you? Where’s your passion? Keep writing until you are done.

6. What are my greatest strengths? If your family and friends were asked to describe your most impressive attributes, what would they say? What do you do better than others? What distinguishes you? What makes you stand out from the crowd?

7. In what areas do I have extensive knowledge? In what areas have you spent the most time? Where would you say you have more knowledge than most people?

8. What’s the greatest value I offer to the market? Make a list of every skill, talent, and ability you have; then put a dollar value next to each one. Your goal is to identify where your personal services offer the highest value to the market.

9. How much money do I want to make? If you are looking to make a major career decision, you must decide how much money you want to make. Based on where you find yourself today, how important is money to you and how much do you want to earn?

10. What would my criteria be in selecting something new to do? Twenty-one years ago I made a list of what I believed would be the perfect business for me. Then I went on a search, quickly ruling out businesses that didn’t meet my criteria. Finally I found a business that met all 35 points on my criteria list. Making this list was one of the wisest things I have ever done.

As you process your answers to these questions, ask yourself one more question. What are my options? Make a list of every option available to you that aligns with your lists. After draining your brain of all possible options, review the pros and cons of each option. Consider seeking advice from people you respect. You might just discover an unchartered coastline that leads you to your dream destination.
